The Move to 100% Electronic Expense Management with Certify

Holland Company LP is a pioneer in the railway supply industry for car components, and is the acknowledged leader in the world market for electric flash butt welding systems and track testing using efficient road rail vehicles. Holland LP, based in Crete, Illinois with 600 employees nationwide, has been engineering rail solutions since 1935.

Expense Management Challenges

Holland Company LP has a highly mobile workforce, with nearly 400 employees working in the field, resulting in roughly 800 expense reports per month. The company had been using an expense solution from Concur for several years, yet was disappointed with the customer service from the vendor. The transportation supply company had occasional requests for adaptations to the system, yet the requests were not fulfilled. In particular, the company needed mileage tracking and mapping features and support for per diem flagging in the system. Holland began looking for a new expense management solution, ultimately selecting and deploying Certify in 2011.

Holland Company LP was immediately pleased with the response and customer service from Certify. “They were very willing to meet our needs and every time we had a question or issue, they came back with an answer the same day,” says Amy Hatfield, a billing and AP clerk with the company. “Certify has been so responsive and has always accommodated our requests.” Feedback from employees and managers has been very positive about features in the system. “Our people in the field don’t have fax machines, so the ability to take pictures of receipts with their mobile phones and sync that data with their wallet is tremendous for them,” says Hatfield.

  • Approximate time savings of 6 hours monthly for the Accounting department, from near elimination of manual data entry and errors, from using Certify.
  • Simple integration with Holland’s ISS Accounting system, through an Excel file upload provided by Certify. Previously, with Concur, the integration required significant manipulation within the accounting system to complete data uploads.
  • More timely payment of employees, decreasing the time to process reimbursement from 5 to 3 days, after switching to Certify.
