Introducing Certify Mobile Instant Policy Check

No matter how steadfast a company’s T&E policy may be or how many times an employee has been trained, it seems business travelers could always use a little extra help staying in compliance. With that in mind, Certify is excited to introduce our newest feature for our industry leading mobile application, Certify Mobile Instant Policy Check.

It’s the easiest, fastest way to let your employees on the road know whether their expenses meet guidelines or if purchases are potentially out of policy. And because expenses are checked against policy as receipts are entered into any smartphone, Certify Mobile Instant Policy Check further streamlines the expense reporting process by alerting users before out-of-policy items are passed into the system or submitted for reimbursement.

How It Works
Certify Mobile Instant Policy Check compares the expense amount and currency type entered by a user against company policy for expense category maximums and currency settings (see examples). Available expense categories reviewed by Certify Mobile Instant Policy Check include cash expenses, mileage, lodging, meals, rental car, and GSA and custom per diem rates. Expense maximums are also calculated using category logic to ensure the greatest accuracy (lodging expense divided by number of room nights, meals expense divided by number of attendees, etc.)

Policy
Expense category maximum amount is $10.00 USD in this example. The user entered $9.90 USD, which appears as green numbers in the “Amount” field along with a green checkmark and “Meets Policy” message in the “Policy” field.

Out of policy
Expense category maximum amount is also $10.00 USD in this example. However $9.90 EUR has been entered, which when converted equals $11.08 USD (10/01/2015 exchange rate). The converted amount exceeds the expense category maximum, therefore red numbers appear in the “Amount” field along with a red exclamation point and “Max 10.00 USD” message in the “Policy” field.

How To Get Started
Certify Mobile Instant Policy Check feature is only available with the latest version of Certify Mobile (download now) for iOS, Android, Windows Phone and Blackberry. After upgrading to Certify Mobile 1.0.52, company administrators must then configure Certify Mobile Instant Policy Check with specific policy requirements for category limits and currency. Configuration takes just minutes, and once complete every user with a Certify Mobile account will see this simple policy safeguard at work.
